Managing Expectations in Property Management

One of the most challenging parts of property management is not the property management itself… it is managing expectations.
Here are two real scenarios.
At a recent routine inspection, we noticed some shower tiles turning slightly blue. We tried a few cleaning products, but we also picked up minor cracking in the tiles and some grout wearing away. That immediately raised a red flag. If grout fails, water can seep behind tiles and cause far more expensive damage down the track.
So we did what we thought was the proactive thing. We arranged a free quote to re-grout the area and presented it to the owner for approval.
The response? The owner was not impressed. They asked that we get instruction from them before initiating anything at all.
On the flip side, we have another client who expects us to organise and resolve issues before even reporting them, only updating once it is underway.
Same situation. Two completely different expectations.
This is why property management can be challenging.
We are constantly balancing being proactive, protecting the asset, managing costs, and respecting the owner's preferred level of involvement. Sometimes you try to do the right thing and it feels like it is not received the way you intended.
What I have learned is this: there is no one-size-fits-all approach.
Some investors are highly hands-on. They want annual air conditioning services, gutter cleans, filter changes, preventative maintenance, the works.
Others only want to hear from us if the house is practically falling down or if it is urgent.
Neither approach is wrong. It simply reflects different investment styles.
One of the advantages of being a smaller agency is that we can take the time to understand how each client operates. We learn what matters to them, how they like communication handled, and how proactive they want us to be.
Managing expectations is not about policies. It is about conversations.
And when you get that alignment right, everything runs a lot smoother.
